Information we collect
1.1 Online forms
We collect information from visitors to our websites when completing online forms. Personal information is data that identifies you and includes (but is not limited to) your name, business or personal email address, job title, organisation, organisation’s address, direct telephone number.
1.3 Award nomination entries
When individuals complete a nomination for the one of our awards, they submit their information and that of the nominee in an application form. Any personal information that is provided is used to review the nomination. The information about the winner may also be published on our website and social media channels.

We may use a Live Chat service to handle customer enquiries in real time. If you use the Live Chat service we will collect your email address, if provided, and the contents of your Live Chat session.

At Beacon’s events, video and photography equipment will be present. This includes the filming/ photography of events presentations, interviews with partners and delegates and highlight footage. Prior consent will be required for events presentations and interview footage to be shared. When contributors give informed consent to take part in our output, they can be assumed to have waived their expectations of privacy in relation to their contribution, subject to any agreed conditions placed on their participation.
Cameras may also be present to relay footage on to screens throughout the event venue, to provide a clearer view for the audience. Signage will be used to notify delegates that filming, and photography will be taking place.
For events highlight footage we do not normally obtain express consent from individuals who are incidentally caught on camera as part of the general scene, however we will not purposefully film any footage that makes an individual identifiable, beyond the aforementioned activities that already require consent.
Signage will also indicate that photography will be taking place at our events. We do not obtain prior consent for general photography at our events. However, if an individual or organisation asks us to not to include them in the shot, due to a concern about privacy, we should normally do so, unless it is editorially justified to continue.
Occasionally, partners may also film at Beacon’s events. Joint consent will be obtained prior to filming, in accordance to the above formats outlined. Where a partner is involved in the videography process, the participant will be notified.
How we use the information we collect:
Beacon processes personal information collected via our websites and registration forms for the following legitimate interests:
2.1 Communications & Marketing
Your information may be used to send you details of those products or services that we offer that we have identified as likely to be of interest to you. This will be in accordance with any communication preferences that you may have indicated when you completed a data capture form. We also enable communications from time to time between you and others through our services. We will use data about you to suggest connections for you and others (e.g. Matchmaking activities) and enable you to invite others to connect with you. 2.2 At Events
We may provide relevant information for hospitality and safety purposes to hotels and venues hosting our events and third-party service providers. At some of our events we may use RFID-enabled badges (which we use to track your location around our event venue so we can better understand your areas of interest). You can opt to have your personal details anonymised at point of collection.
All transactions are processed through a PCI compliant gateway provider and are not stored or processed on our servers.
2.4 Surveys & Research
We may communicate with you about surveys, marketing, promotions, events, educational forums, and other exclusive opportunities offered by Beacon and its partners and affiliates. You are not obligated to respond to surveys.
2.5 Customer Support
We use the data (which can include your communications) needed to investigate, respond to and resolve complaints and service issues.
2.6 Aggregate Insights
We use your information to produce aggregate insights that do not identify you. For example, we may use your data to generate statistics about users, their profession or industry and the number of pages served or clicked on.

Interview footage will be used in Beacon’s videos to promote content and marketing for Beacon. Participants have the right to receive updates from Beacon for the usage of any footage in future campaigns/products.
Highlight footage will be processed following each event to create highlight videos.
All footage may also be used in events highlight videos to promote our future events and used in marketing campaigns on the Beacon website, emails and social media.
Photographs may be published on the Beacon website to promote the events, they may also be used in association with the event presentation library, as a cover image or thumbnail.
How we share your information:
Where information is shared with a third party for a legitimate business purpose, Beacon will seek reasonable assurances from that third party that the personal information will be processed for legitimate reasons and appropriately protected. Beacon may share your personal information with other companies or individuals in the following instances:
